Use a known fictional fixture
Before relying on a new export route, compare a small set of fictional responses with the downloaded representation. Include punctuation, a skipped answer, a multiline comment and a changed branch. A file opening successfully establishes very little about whether the meaning survived. Do not test with private customer data where it is unnecessary.
Check the fields that can drift
Look at stable identifiers, full question labels, selected options, completion state and time zone. A numeric-looking identifier can be altered by spreadsheet interpretation; an empty cell may have several meanings. Keep the raw export as an authorized record and do analysis in a separate working copy. Do not silently repair ambiguity by inventing values.
Understand the documented route
Yay! Forms describes downloading responses and importing them into Excel or Google Sheets. That manual route is not the same as a continuously synchronized integration. Decide which one your process needs and verify the behavior of any separately configured integration. A response download is also not a promise that the original form, branches and permissions can be restored from it.
Accept the export deliberately
Record the provider, form version, period, export time and checks performed. Reconcile counts before using a spreadsheet summary in a decision. If the difference cannot be explained, retain both counts and the uncertainty rather than selecting whichever looks more convincing.
Use a small reconciliation total
Suppose the dashboard shows twelve completed responses and the export has fourteen rows. Check whether the file includes partial entries, an extra header, duplicates or another time period. These are hypotheses to examine, not an instruction to delete two rows. Keep an untouched authorized copy and a documented working view. Only report a reconciled count once the difference is actually understood. If it remains unexplained, retain the disagreement in the analysis rather than hiding it.
